Privacy Policy

Golden Valley Camp (“we”, “us”) hosts groups at our camp. This page explains what information we collect when you use this website to ask about dates, book a stay, sign documents or message us, how we use it, and the choices you have. We keep it as short and plain as we can.

What we collect
- Reservation requests. Your group name, your name, email address, phone number and mailing address, the dates you want, how many people are coming, meal choices, and any notes you write.
- Camper and participant lists. Names and age groups of the people in your group, and their email addresses if we need to send them a waiver. A group leader usually gives us this information on behalf of the group.
- Dietary, health and access needs. Only what you choose to tell us so we can feed and look after your group safely.
- Signed documents. When you sign a contract or waiver online we keep your typed name, your drawn signature, the date and time, your IP address and browser details, and the version of the text you agreed to. We keep these so we can show the signature is genuine.
- Donations. If you give online, we keep your name, email, the amount, how often you give and any “in honor of” note you add, so we can thank you and keep our books. Payment details go to our payment provider, not to us.
- Messages. What you write to us through your request page, and our replies.
- Payments. We keep a record of what was paid, when and how (for example card, check or cash). Card payments are handled by our payment provider; we do not store full card numbers.
- Website and security information. Basic technical data such as IP address, browser type and the pages requested, and a record of sign-in attempts. This helps us keep the site working and secure and stops abuse.
- Staff accounts. For camp staff and directors who sign in: name, email, role and sign-in activity.
How we use it
- To answer your request, hold dates, confirm your stay and run it.
- To send you the emails you need: sign-in codes, document links, deposit and payment notices, and reminders about your stay.
- To keep your group safe (meals, health and access needs, emergency contact).
- To keep records we need for accounting, tax and legal reasons.
- To protect the website from misuse.
We do not sell your information. We do not use it for advertising.
Who we share it with
Only people who help us run the camp and the website, and only what they need:
- Our website host and email delivery provider.
- Our payment provider (Stripe) and our accounting tools (QuickBooks).
- Camp staff and directors who handle reservations.
- Authorities or advisers, if the law requires it or to protect people or our rights.
Children
Our website is for group leaders and adults. We do not knowingly collect information directly from children. Information about young campers comes from the group leader, who confirms they have the right to share it.
Cookies
We use cookies that the site needs to work and, with your consent, any optional ones listed in our cookie banner. You can change your choice at any time from the cookie settings link on the site.
How long we keep it
We keep reservation records and signed documents for as long as we need them to run your stay and to answer questions or claims afterward, then delete or anonymise them. We keep tax and accounting records for as long as the law requires.
Keeping it safe
Access to reservations is limited to signed-in staff, sign-in codes expire quickly, and we limit repeated sign-in attempts. No system is perfectly secure, so please do not send sensitive details by ordinary email when you can use your request page.
Your choices
You can ask to see, correct or delete the personal information we hold about you, or ask us not to use it for something. Call or email us using the details above. We may need to keep some records (for example signed documents and payments) where the law requires or while a stay is still active.
California residents. You have the right to know what personal information we collect and to ask us to correct or delete it. We do not sell or share personal information for advertising. We will not treat you differently for asking.
Changes
If we change this page we will update the date at the top.
